Identification Cards

Students are responsible for knowing the following:

Privacy Policy

Occidental College respects the privacy rights created and protected by state and federal law. The College collects, retains, and uses information about individual members of Occidental College's community only where required by law, regulation or when the College reasonably believes it is useful and allowed by law in order to administer its business and to provide services. Access to the College's information systems and data is limited to those employees who have a demonstrated need for access based on their job duties. Occidental College does not reveal personally identifiable data related to the identification card to unaffiliated third parties for their independent use with the exception of instances outlined in the Occidental College Identification Card Information Disclosure Policy (available in the Campus Card Office). Disclosure to Occidental College's community is permitted if the personal information disclosed is relevant and necessary in the ordinary course of official duties and is related to the purpose for which the information was acquired. Originals and copies of photos and information collected and stored in Occidental College's Identification Card information system are currently accessible, used and/or maintained by the following:

  1. Campus Card Office, for the purpose of card production, account and transaction access and general identification.
  2. Campus Safety, for the purpose of general identification, verification and College-related investigation.
  3. Human Resources, for the purpose of employee record administration, employment regulation, general identification.
  4. The Dean of Students Office, for the purpose of student record administration, verification and general identification.
  5. Information Technology Services for the purpose of database security and maintenance.
  6. The person to whom the information pertains.
     

Other ID Card Policies

The students' Occidental ID card is the property of Occidental College. The College may revoke students' cards and/or its privileges at any time. Students' cards must be surrendered to a College official upon request. Students are responsible for all actions and obligations incurred by the use of the card. If an overdraw of funds occurs with the use of a student's card during an off-line or on-line transaction, the funds must be promptly repaid.

The card is printed with each student's Oxy identification number. Students should protect the card just like a credit card, driver's license or other valuable piece of identification. Students are expected to take reasonable precautions to prevent unauthorized use.

Lost or Stolen Cards

Report a lost card immediately to the Card Office. In order to protect against unauthorized transactions as well as continue access to accounts and privileges, a replacement card must be purchased. Alternately a temporary meal card may be requested. However, a temporary card does not prevent access to students' accounts via the original card, and their balances may still be at risk. After a student's request is received, a temporary card will be issued and available in the Card Office within 24 hours (48 hours on weekends). Temporary cards will not be issued on demand. A temporary card is valid for one week, after which it must be returned, or a $10 fee will be assessed. Temporary cards are issued for access to meal plans and other debit accounts only, and are not valid for identification or other access purposes including room access. The Card Office will not verify identification to other parties or Campus offices through any other means than the official College ID card.

The chip imbedded in the card and its magnetic stripe are both easily damaged. Do not punch holes, wash, bend, expose to excessive heat or otherwise tamper with the card, as these actions may make the card unusable for some or all of its intended purposes. The card may be confiscated if it has been damaged or defaced. A replacement cost will apply under any of these circumstances. Cards with no visible damage that deactivate within 90 days of production will be replaced free of charge.

Students may request a new identification card at the Card Office during business hours. The purchase of a new card voids all past issued cards and prevents access to accounts or privileges with prior lost or stolen cards. There is a $20 replacement fee for a new card, or a $25 replacement fee if a new photo is requested.

Unauthorized Use

An ID card must be presented to access meal plans and other campus debit accounts. ID cards are for the use of the person pictured on the card and are not transferable. Violation of this policy, including loaning a card or using another person's card, will result in referral to the Office of Student Conduct. Any card presented without consent of the authorized user is considered theft and will result in referral to the Office of Student Conduct.
