Residential Education and Housing Services (REHS) shares additional information intended to clarify the on-campus housing situation for the rest of the Spring 2020 semester.
As a follow up to President Veitch’s email yesterday regarding the College’s COVID-19 coronavirus plans, Residential Education and Housing Services (REHS) is reaching out to you with information that we hope will clarify the on-campus housing situation for the rest of the Spring 2020 semester. We understand that only the most basic housing information was provided yesterday, and we hope that this email will answer a majority of the housing-related questions that you have, and address some of the concerns that some of you have shared with our team and others on campus. Should there be any changes to this plan, REHS will provide you with updates in a timely manner.
First and most importantly, please understand that the College is not closing, and there is no expectation that your personal belongings must be fully moved from your room by the March 20 deadline. We’re sorry that the original message wasn’t more clear. Please note the following:
Students Departing Campus
Regarding the March 20, 5 p.m. deadline, you have the option of fully moving out of your room or retrieving only the belongings you most need. We strongly suggest that if you do not have the ability to fully move out, you take home your valuables, materials you may need for classes, and remove any perishable goods.
In addition to all on-campus residence halls, these expectations also apply to Berkus House, Food Justice House, Queer House, SAE House, and Theta House.
For those of you who are not approved to remain on campus and in the residence halls through the petition process (see below), your Oxy ID card access to residence halls and other locations on campus will be deactivated on March 20 at 5 p.m. The IDs of students who receive permission to remain on campus will remain active.
The official move out date for spring semester is 10 a.m. Saturday, May 9; all student residence rooms will need to be vacated by that time. You will be given access to your rooms starting on Monday, May 2 at 8 a.m., and are free to plan your move out throughout this week.
If you want to either move out or retrieve any items after Friday, March 20 but before Spring Move Out, please call REHS at (323) 259-2531 during business hours (Mon-Fri, 9 a.m. - 5 p.m. PST) to schedule a time.
On Tuesday, March 17, we will share a new form with you so that you can let us know if you are planning to fully move out by March 20, or if you’d like to leave your personal items in your room for the time being. This form will be required for all students residing on campus this semester. We understand this might be an inconvenience for some, but it is important for emergency planning that the College is aware of which students are living in residence halls.
If you have pet fish in your room and cannot return to campus to retrieve them, please email firstname.lastname@example.org for further instructions.
Giving Permission for Family and/or Friends to Retrieve Items from Room:
If you would like to give permission for a family member, relative, or friend to enter your room on your behalf, please send an email to email@example.com, copying all of your roommates, and provide the following information: name(s) of individual to whom you are granting permission and potential dates and times they are available to come to campus (between 9 a.m.-5 p.m.). Once received, REHS staff will follow up with additional information.
Student Support and Resident Advisors:
REHS is anticipating that many current Resident Advisors will depart campus. As a result, if you have any concerns or issues, please utilize the following resources:
Lockouts: Please visit Card Services during their business hours: Mon.-Fri. 10:30 a.m.-5:30 p.m. (closed 12:15-12:45 p.m.), Sat.-Sun. 12 p.m.-5 p.m.
General Issues: Please visit the REHS Office during business hours, Mon-Fri, 9 a.m. - 5 p.m. PST in Berkus Hall or call (323) 259-2531. If you need immediate assistance, please contact Campus Safety at (323) 259-2599. Campus Safety is available 24/7.
Students Approved to Stay Based on Special Circumstances:
As announced this morning, a campus housing petition process has been set up for students with special circumstances who wish to remain on campus beyond March 20. Petitions will be reviewed by the Dean of Students staff. Students who are approved will receive additional information about housing from REHS. Some students have inquired about the possibility of consolidating rooms in one or more residence halls; no decisions have been made at this time, and we will continue to assess this circumstance based upon housing occupancy and federal Centers for Disease Control preventative guidelines.
Dorm Room Movers is one of the College’s preferred student storage vendors and will be on campus during select days and times during the week of May 2 for any students who wish to utilize their services. Exact dates and times will be shared with students in a future update. Please visit their website to learn more and to register for storage services. Additionally, we encourage students who need storage services on or before March 20 to contact Dorm Room Movers directly.
Information about parking, car storage, and car registration for the 2020-21 academic year will be shared by Campus Safety.
The College is finalizing the process by which we will administer room and board refunds. That process and timing will be forthcoming in a separate communication to students and families soon.
