Almost everything you can do from a computer while at Oxy you can do from home or on the road. These are the technologies, resources, and services you will need to successfully work remotely.
We use the web for many of our daily tasks, and for the most part how you use these tools won’t change when working off campus. Almost all services you access using a web browser work the same wherever you are. Some of these include:
Working remotely doesn’t mean working in isolation. Oxy offers several methods to communicate and collaborate with coworkers:
- BlueJeans - video conferencing
- Google Hangouts - group collaboration and chat
- Google Hangouts Meet - video conferencing
Equipment and Workspace
In order to work remotely you will need certain equipment and a quiet, distraction-free workspace. You will also need:
- High speed internet access. Oxy has a very fast internet connection but your performance in accessing campus resources will be limited by your connection speed.
- An Oxy issued laptop.
- Peripherals such as mouse or keyboard or web camera.
If you do not have an Oxy-issued laptop or need a peripheral please contact the ITS Help Desk at x2880 or come visit us on the first floor of the Academic Commons.
Remote Connectivity Tools
Services that are normally only accessible while on campus can be accessed remotely using these tools.
The Fortinet VPN is your best option if your primary work computer is an Oxy laptop you take home.
The VPN (Virtual Private Network) securely connects your remote computer to the Oxy network and allows you to work off campus largely as you would normally. Your connection speed will be slower since you aren’t on campus but you will be able to use any application that accesses Oxy servers. You may need to manually map drive letters.
The Parallels Remote Access Server is your best option if your primary work computer is an Oxy Windows desktop or if you only need Banner.
Parallels will allow you to remotely use your Windows desktop, access Banner, or work directly with Office files on your G and H drives.
Secure FTP allows you to copy files back and forth to your Oxy network drives, such as G, H, and S. Please note that you are copying these files and not working on them directly so you will need to copy them back to your network drive when done working with them. This option can be faster than accessing your files directly using the other options.
Forwarding your campus phone allows you to receive calls made to your Oxy phone remotely. Voicemails are also automatically sent to your email so you can check those as well. If you have already left campus and need your phone forwarded, please contact the ITS Help Desk and we can assist.
While almost anything you do via a computer can be done remotely some work just can’t be done from off campus.
Printing, copying, faxing, and scanning unless you have a personal device at home. You should be able to connect your Oxy computer to your personal printer. Note that you can print from home to an Oxy printer in case someone is in the office to get that print out for you.
Paper processes. If you have processes that rely on paper you will either need to move to an electronic method or take those papers home.
Common Remote Examples
There are sometimes multiple ways to provide remote access issues. Depending on the devices you have and what you need access to can change your remote setup. Here are some examples.
Web worker. If all you need to do your job is an internet browser to access Google, My oxy, and other web based tools then you don’t need any special tools. You can work from anywhere.
Banner is delivered via Parallels which is available off campus. Either take your laptop home, borrow a laptop from ITS, or install Parallels on a personal device to access Banner.
Windows desktop users with departmental applications like PowerFAIDs or Mainsaver. If you don’t have a loaner laptop you can get one from ITS and then use either Parallels Remote Desktop or the VPN to connect to that desktop. All your applications will be installed and you will be able to work normally. You may find Parallels or the VPN faster. Use whichever one you prefer.
Mac or Windows laptop users who need access to campus servers or file shares should take their Oxy issued laptop home and use the VPN to connect. If you are moving or access large data files or making complicated queries you may find it faster to use Office in Parallels.
